Work & Collaboration · App 06

Every conversation, file and signature on the record it belongs to

Office is designed to work alongside the Gmail or Microsoft 365 you already run, then add record-linked mail, meetings and India-ready e-signing in planned waves.

Planned · Year 1 (W1)9 modulesYear 1: Substitute only
Office is where a business communicates, writes, meets and signs, with every thread, file, meeting and signature attached to the customer, deal, ticket, project or employee it is about. Supervised AI Digital Employees take part as accountable colleagues, and every action they take from a conversation runs through governed, approvable Actions whose cost and outcome are measured.

What Office is

Office is the part of One3 where people write, talk, meet and sign. It is planned as nine modules: Drive, Mail, Calendar & Booking, Chats, Docs, Sheets, Meet, Sign and Slides. They share one idea. A conversation is not useful on its own; it is useful when it is attached to the customer, deal, ticket, project or employee it is about.

Connect before replace

Most businesses already pay for Google Workspace or Microsoft 365. Office is designed to work on top of those mailboxes, calendars and drives first, through their official APIs, after provider verification is recorded. Native modules arrive by wave, and switching suites is never a precondition for value. In Year 1 the plan is a Drive foundation that every One3 app uses for attachments, plus Gmail and Microsoft 365 logging and sending from CRM and Service Desk records.

One record, not a copy

Every attachment in every One3 app is planned as a single governed Drive file with versions, permissions, classification, malware scanning, retention and legal hold. Mail threads, calendar events, chat threads, meetings and envelopes link to the same shared party and activity records that CRM, Service Desk, Work and People use. Office never keeps its own separate contact list.

From conversation to governed work

Summaries are not the product. A mail thread or a meeting transcript proposes typed Actions: move a deal stage, create a task, schedule an interview, send a quote for signature. Each proposal shows the change, the evidence quote and a risk tier. Low-risk items can be approved in bulk by the host; higher-risk items go to the Approvals Inbox. Nothing changes until a person approves it.

Digital Employees as colleagues

A Digital Employee can be given a mailbox alias, a calendar, channel membership and meeting attendance, always under agent identity with a visible badge and disclosure. Roles such as the AI Meeting Scribe, AI Executive Scheduler and AI Document Controller work for a named human owner, within autonomy limits, and never sign, never purge files and never place or release legal holds.

India-ready by design

Sign is planned to support Aadhaar eSign through a licensed eSign Service Provider, DSC and partner e-stamping, with an IT Act First Schedule guard that blocks excluded document types (all verify with counsel). Booking reminders, signature requests and meeting summaries can go over WhatsApp with consent and approved templates. India tenants are hosted in India by default.

Evidence, not claims

AI, envelope, transcription and messaging costs, and the outcomes they support, post to the Investment & ROI Ledger, so a buyer can see what each meeting minute or envelope cost and what it led to.

Problems solved

What Office fixes

The conversation, the deal and the signed PDF live in three places

Customer mail sits in Gmail, the deal in the CRM and the signed document in someone's downloads folder. Office links mail, calendar, files, meetings and envelopes to the shared business record.

AI summarises the meeting, but nobody updates the records

Someone still has to update the CRM, create tasks and send the follow-up. Office turns threads and transcripts into Action proposals that a person approves, reverses or compensates, with full audit.

AI is paid per seat with no view of what it returned

Office posts AI, envelope and meeting-minute costs per action to the Investment & ROI Ledger, with the outcomes they supported.

E-signing is not connected to HR or sales

Offer letters, quotes and NDAs often need Aadhaar eSign and stamping. Sign is planned inside People, CRM and Legal flows, through licensed providers (verify).

Customers and candidates answer WhatsApp, not email

Booking links, reminders, signature requests and meeting summaries are planned for WhatsApp delivery, subject to consent and template rules.

We cannot rip out Google Workspace or Microsoft 365

Office is designed to coexist with the mailboxes, calendars and drives a business already has, so trying it does not mean migrating first.

Scheduling takes five emails and people still do not turn up

Booking pages with round robin, WhatsApp reminders and self-service rescheduling link every booked meeting to the lead, ticket or candidate.

Recordings and transcripts pile up with no consent trail

Meet is designed to show a consent notice before capture, keep consent records per participant and apply retention labels, legal hold and DPDP erasure.

Key capabilities

What you can do

Record-linked communication

Threads, events, files, meetings and envelopes attach to the deal, ticket, project or employee through shared relation and activity records.

Conversation to Action proposals

Mail and meeting transcripts propose typed record updates with a diff, an evidence quote and a risk tier, applied only after approval.

Works alongside your suite

Office Connect is planned over existing Gmail, Microsoft 365 and IMAP mailboxes, calendars and drives, after provider verification.

One governed file layer

Every attachment is one Drive file with versions, malware scan, classification, retention labels and legal hold.

India Stack signing

Aadhaar eSign via a licensed eSign Service Provider, DSC and partner e-stamping, with a First Schedule guard (verify).

WhatsApp-first delivery

Booking reminders, signature requests and meeting summaries over WhatsApp with opt-in and approved templates.

Digital Employees as participants

Agents get mailbox aliases, calendars, channel membership and meeting attendance under agent identity, badge and audit.

Consent before capture

Recording notice, per-participant consent records and recordings classified confidential by default.

Cost and outcome per action

AI, envelope, transcription and messaging costs post to the Investment & ROI Ledger next to the outcomes they supported.

Workflows

How the work flows

End-to-end workflows inside the app and across One3.

Mail thread to approved record update

A customer email arrives in a connected mailbox, links itself to the right record and proposes the next step.

  1. 1.Gmail, Microsoft 365 or IMAP sends a change notification and the sync worker fetches the thread incrementally.
  2. 2.The user's logging mode decides whether only metadata, linked threads or the full mailbox is stored.
  3. 3.Excluded domains and private threads are skipped and stay only in the user's inbox.
  4. 4.Parties are resolved from contact points and the most relevant open deal, ticket, candidate or project is linked above a confidence threshold.
  5. 5.AI triage sets intent, priority and needs-reply, then proposes Actions such as a stage move or a task, each with a diff and risk tier.
  6. + 1 more steps →

Booking page to meeting held

An external invitee books a slot, gets WhatsApp reminders and the meeting lands on the right record.

  1. 1.The invitee opens a booking page; slots are computed from live free/busy, working hours, holidays, People leave and buffers.
  2. 2.The invitee picks a slot and answers routing questions; an advisory lock checks the slot is still free.
  3. 3.The host is chosen by single, round robin or routing rules and a provider event with ICS and a video link is created.
  4. 4.The party is matched or created and linked to the lead, ticket or candidate.
  5. 5.Confirmation and reminders go by email or WhatsApp with consent; the invitee can confirm or reschedule.
  6. + 1 more steps →

Meeting to approved updates

A recorded meeting ends with a summary and record-update proposals the host reviews.

  1. 1.Participants join from the calendar event linked to a deal; a disclosed agent participant may join per policy.
  2. 2.If recording is on, every participant sees a consent notice and consent records are written before capture.
  3. 3.When the meeting ends, a summary with decisions, risks, action items and proposals with evidence quotes is generated.
  4. 4.The host approves, edits or rejects each proposal; R1 and R2 items can be bulk-approved, R3 and above go to the Approvals Inbox.
  5. 5.Approved items update records and create tasks; the summary posts to the record channel and a follow-up mail draft is prepared.
  6. + 1 more steps →

Record to signed document, filed

A quote, offer or NDA is sent for signature from its record and the signed copy files itself.

  1. 1.A document version is locked from the quote, offer, contract or NDA record.
  2. 2.The First Schedule guard checks the document type is allowed for electronic signature; excluded types are blocked with guidance.
  3. 3.If stamping is needed, an e-stamp is purchased through a partner as an R4 approval.
  4. 4.The envelope is set up with recipients, signing order, fields and identity method, then sent by email or WhatsApp with consent.
  5. 5.Signers use OTP e-signature or Aadhaar eSign through a licensed ESP; an Authorised Signatory counter-signs with a second factor.
  6. + 1 more steps →

Upload, scan, share and retain a file

Any file uploaded anywhere in One3 becomes one governed Drive file.

  1. 1.A file is uploaded from an app, Drive, mail or an editor and registered as pending scan.
  2. 2.The platform malware scan quarantines infected files and notifies the uploader and admin.
  3. 3.Clean files are classified by folder default, rule or AI suggestion and attached to a record or folder.
  4. 4.Internal shares write a permission relationship; external shares follow the classification policy and may need approval.
  5. 5.A retention label computes the retention date, and files past retention and not on hold are deleted or sent for review.

AI inside

AI skills that act through governed Actions

Every AI skill runs through the same typed Actions people use, with risk tiers, approvals and an audit trail.

Thread linking A2

Links a mail thread to the party and the most relevant open record; deterministic contact-point match first, ranking model above a tenant confidence threshold.

Mail triage A3

Sets priority, intent, needs-reply flag and a suggested label, without overriding provider spam or phishing verdicts.

Brand-voice reply drafts A1

Drafts replies grounded in Knowledge and the linked record with citations; sending stays with a human or pre-approved intents.

Scheduling assistant A3

Parses scheduling requests from mail, chat or WhatsApp and proposes slots; internal holds can be automated, external invites are approval-gated.

Meeting summary and action items A3

Produces decisions, risks, open questions and action items with owners and due dates from consented recordings.

Record-update proposals from meetings A2

Proposes deal, ticket and task updates with an evidence quote and timestamp; application is never automatic in the first release.

File auto-classification A1

Suggests classification and retention labels from content and folder context; AI may raise a classification but never lower it.

Document from record

Generates proposals from a deal and quote or offer letters from a candidate and offer, as a draft the user edits.

Natural-language formulas

Turns a description into a spreadsheet formula with an explanation and preview before insert.

Sign field detection and clause highlights

Detects signature fields on uploaded PDFs and flags unusual clauses against the tenant's playbook; advisory only, never blocks signing.

Security & compliance

Built to be trusted

Tenant isolation and fine-grained sharing

Row-level security on every Office table, plus relationship-based permissions for folders, files, mailboxes, calendars, channels, rooms and envelopes.

Agents with hard limits

A Digital Employee's permissions are the intersection of its skills, its owner's permissions, explicit grants and autonomy. Agents never approve R4 Actions, sign, purge files, place or release holds, or start recordings.

Encryption and key handling

TLS in transit, encrypted WebRTC, per-tenant data keys for recordings, transcripts and sealed envelopes, and the document seal key held in an India-region HSM-backed KMS. Customer-managed keys are planned for W4.

Consent, retention and DPDP erasure

Recording consent per participant, retention labels, legal hold that overrides deletion, and DPDP erasure across files, stored mail copies, chats and transcripts. Regulatory positions are pointers; verify with counsel.

Evidence-grade signing

Hash-chained signing events, a tamper-evident audit certificate and an evidence export pack. One3 integrates a licensed ESP and does not act as an eSign Service Provider or Certifying Authority (verify).

Hosted in India by default

India tenants keep Office content in the India region, with sensitive data redacted before any cloud AI call where policy requires it.

Frequently asked questions

Do I have to leave Google Workspace or Microsoft 365?

No. Office is designed to connect to the mailboxes, calendars and drives you already have and link them to One3 records. Native modules are optional and arrive in planned waves.

What is planned for Year 1?

A Drive foundation that every One3 app uses for attachments, plus Gmail and Microsoft 365 logging and sending from records, booking links via integration and Slack, Teams or WhatsApp notifications. The Office modules themselves are planned for Year 2 (W3) and later.

Will AI change my CRM from a meeting automatically?

No. Meetings and threads produce proposals with an evidence quote and a risk tier. A person approves each one; in the first Meet release, application is never automatic.

Can Digital Employees send email or sign documents?

Agents can draft and prepare. External sends are approval-gated unless a template is pre-approved and the agent has earned that autonomy. Agents never sign documents and never counter-sign for the organisation.

Is Aadhaar eSign supported?

Sign is planned to support Aadhaar eSign through an empanelled eSign Service Provider, with One3 sending only the document hash and never storing the Aadhaar number. Legal and provider details are marked verify and should be confirmed with counsel.

Where is my data stored?

India tenants are hosted in the India region by default. Content held by Google or Microsoft stays with that provider; One3 governs the copies it holds.

How is Office priced?

Drive, Mail, Calendar & Booking and Chats are planned as core modules; Docs, Sheets, Meet, Sign and Slides as add-ons, with envelopes and meeting minutes metered. Prices are not published yet.
