People & Finance · App 08
Invoices, payments and books produced once, from one record
GST-ready billing, collections and accounting on the same data model as the rest of One3, with supervised finance Digital Employees whose cost and results you can see.
Finance on One3 is planned as the system where invoices, payments, books and statutory data are produced once, from the same records the rest of the business already uses, and where rented finance Digital Employees do the routine work under human-controlled limits, with every outcome measured. Statutory correctness comes first: GST invoicing, e-invoice IRN, GST return data, TDS and the books edit log must reach parity with Indian incumbents before any AI feature is marketed. Filing and fund movement always need human approval.
One ledger fed by every app
Most growing businesses raise invoices in one tool, collect in another and send everything to their CA to re-key into desktop accounting software. One3 Finance is designed to remove that chain. Won deals and accepted quotes in CRM, approved timesheets in Work, payroll runs and expense claims in People, purchase bills and POS sales in Operations and Commerce, and Digital Employee rentals in AI Workforce all post into the same ledger through typed Actions on the shared kernel. There is no integration project between your sales system and your books, because they share one data model.
Statutory correctness first
The plan puts India compliance at the centre rather than in a localisation pack. A shared Tax Engine determines GST by place of supply, applies HSN and SAC codes, and assembles GSTR-1 and GSTR-3B data. E-invoice IRN generation runs through a GST Suvidha Provider (GSP) with pre-submission validation and a retry queue. TDS sections, thresholds and rates are kept as effective-dated rule data with sources in the Fact Register. Every GST, TDS, e-way bill, Companies Act and RBI rule is marked verify until confirmed, and these are pointers, not legal advice; verify with your CA or counsel. Finance assembles filing-ready data; your CA or authorised signatory files on the government portal.
Money moves only through licensed partners
One3 is not planned to hold funds. The Payments Hub routes payment links, UPI QR codes, mandates, refunds and payouts through RBI-authorised gateways and banks the tenant contracts with (verify). Corporate cards are planned only through a licensed issuer, and financing offers only from regulated lenders.
Digital Employees with limits
Finance Digital Employees work for your finance team under supervision. A Collections Reminder Assistant drafts and sends reminders inside your dunning policy. A Bank Reconciliation Specialist proposes matches. An AP Clerk captures and codes bills. Each starts in shadow mode (A1) and earns autonomy per skill. Filing, IRN issue, credit notes, write-offs, refunds, payouts and payment runs are R4 Actions: always a human decision with step-up authentication, never executed by an agent. The Investment & ROI Ledger shows what each agent cost and what it returned on your own data, labelled as assisted or caused.
Built in waves
Year 1 (W2) covers Billing & Invoicing lite, with registers and exports for your CA in place of a full ledger. Accounts, Tax Engine, Payments Hub and Collections are planned for Year 2 (W3). Treasury, FP&A, Revenue Recognition, Consolidation, Spend Analytics and Corporate Cards follow in Year 3 (W4), and Embedded Finance as a partner service in W5. Guided migration from Tally and Zoho Books, with opening-balance reconciliation and a parallel-run report signed off by your CA, is planned with Accounts.
Problems solved
What Finance fixes
Invoices, collections and books live in separate tools
Teams raise invoices in one tool, collect in another and the CA re-keys everything into desktop accounting. Finance is planned to run invoice, payment and ledger posting in one flow.
E-invoice rejections and missed IRN windows
Rejected e-invoices create input credit disputes with customers. GSP-integrated IRN generation with pre-submission validation, a retry queue and window alerts is planned (verify window rules).
Overdue receivables chased on personal WhatsApp
Reminders go out with no record. Governed reminders over WhatsApp, email and voice with consent, quiet hours, dispute pause and an audit trail are planned.
Bank and UPI settlements never match one-to-one
Month-end reconciliation takes days. Statement and feed import, settlement matching of gross, fee, tax on fee and net, plus rules and AI suggestions, are designed to keep books current daily.
GSTR-2B and IMS mismatches found after filing
Input credit is put at risk. Finance is planned to import GSTR-2B and IMS data, match it against purchase bills and show a mismatch worklist before filing (verify IMS rules).
No view of next quarter's cash
Founders decide spending blind. A cash position and 13-week forecast built from receivables, payables, payroll and commitments is planned.
Switching from Tally feels risky
Opening balances and history rarely reconcile after a move. A guided Tally migration with reconciliation and a CA-signed parallel-run report is planned as a go-live gate.
AI features with no measured result
Owners pay for AI but cannot tell what it returned. Each finance Digital Employee is planned to carry a per-agent Investment & ROI statement on tenant data.

Billable event to issued invoice, payment and posting
A won deal, subscription period, rental month or approved timesheet becomes a GST invoice, is paid through a link and posts to the books.
- 1.A won deal, accepted quote, subscription period, closed rental month or approved timesheet creates a draft invoice.
- 2.Validation checks tax profile, HSN/SAC and address; failures go to an exception list.
- 3.If an approval rule is hit (amount or discount threshold), the draft goes to the Approvals Inbox.
- 4.Issue assigns the number, snapshots the bill-to, renders the PDF and locks the document.
- 5.Where e-invoice applies, the invoice is submitted via the GSP for IRN, acknowledgement and signed QR, with a retry queue on failure.
- + 3 more steps →
Due invoice to collected cash
Reminders follow your dunning policy and stop when a customer disputes, promises to pay or asks for a person.
- 1.An invoice reaches a dunning step by offset days from its due date.
- 2.The Collections Reminder Assistant drafts a reminder in the customer's language within approved templates, with AI disclosure.
- 3.Consent, quiet hours and frequency caps are checked before sending.
- 4.Replies are classified as paid claim, promise, dispute, question, opt-out or request for a person.
- 5.A dispute pauses outreach on affected invoices and opens a Desk ticket; a promise to pay schedules a follow-up.
- + 1 more steps →
Money in the bank to reconciled books
Bank lines and gateway settlements are matched to invoices, fees and taxes daily rather than at month end.
- 1.Bank statements are imported as files or arrive through bank APIs or Account Aggregator with consent.
- 2.Gateway settlement reports split gross collections, fees, tax on fees, refunds, chargebacks and net payout.
- 3.Rules match by reference, amount, date window and counterparty, including one-to-many matches.
- 4.The Bank Reconciliation Specialist suggests matches for the rest with confidence and reasons.
- 5.An accountant confirms or the agent confirms within earned rule classes; fees and interest are created and matched.
GST period to filing-ready data
Outward and inward data is reconciled before the CA files, protecting input tax credit.
- 1.GSTR-1 data is prepared from Billing and manual sales and validated.
- 2.GSTR-2B and IMS data are imported via the GSP and matched to purchase bills.
- 3.The GST & Indirect Tax Assistant classifies mismatches and drafts vendor follow-ups for human approval.
- 4.GSTR-3B liability and ITC summary are computed with variance against GSTR-1.
- 5.The CA reviews and files on the government portal; marking a return filed is a human action.
Move from Tally with a parallel run
Masters, balances and history move through the Migration Factory and must reconcile before go-live.
- 1.Export masters, groups, ledgers, opening balances, vouchers and GST registrations from Tally.
- 2.AI suggests mappings from Tally groups and ledgers to the One3 chart of accounts for human approval.
- 3.A dry run imports the data and produces a reconciliation report.
- 4.Both systems run in parallel for an agreed period.
- 5.The tenant's CA signs off the parallel-run report as the go-live gate.

Security & compliance
Built to be trusted
R4 money actions stay human
Filing, IRN issue, credit notes, write-offs, refunds, payouts and payment runs need a human approver with step-up authentication. Agents never receive R4 execution rights.
Segregation of duties
Rules such as preparer is not approver, write-off proposer is not executor and vendor bank account creator is not activator are checked at role assignment and at Action time.
Non-disableable edit log
Every create, change and reversal of books data is recorded with before and after values, actor and timestamp by a database trigger the app cannot bypass (verify Companies Act scope).
Tenant isolation and field-level security
Forced row-level security on every finance table, with masking for bank accounts, PAN, salary-level FP&A lines and card-holder identifiers.
Untrusted content cannot move money
Customer replies, vendor emails, bill PDFs and bank narrations are read by a quarantined reader; vendor bank-change requests are flagged and need verification.
Regulatory pointers, not advice
GST, TDS, e-way bill, Companies Act, RBI and DPDP positions are tracked in a Fact Register as verify items. Verify with your CA or counsel before relying on them.
Frequently asked questions
What is planned for Year 1?
Only Billing & Invoicing lite (W2): customers, items, invoices, credit notes, recurring subscriptions, GST with HSN and SAC, e-invoice IRN through one GSP, payment links and dunning. Registers and exports for your CA stand in for a full ledger until Accounts arrives in W3.
Will One3 file my GST or TDS returns?
No. Finance is designed to assemble filing-ready data. Your CA or authorised signatory reviews it and files on the government portal.
Does One3 hold my money?
No. Payments, refunds and payouts are planned to move only through RBI-authorised gateways and banks you contract with (verify). Cards come only through a licensed issuer and financing only from regulated lenders.
Can a Digital Employee write off debt or issue a refund?
No. Write-offs, refunds, credit notes, payouts and payment runs are R4 Actions. An agent can prepare the evidence, but a human with step-up authentication decides.
Can I move from Tally?
A guided Tally migration is planned with Accounts in W3: masters, ledgers, balances and vouchers are imported, reconciled and run in parallel, and your CA signs off before go-live.
How will I know whether a finance agent is worth it?
Each agent is planned to show a monthly Investment & ROI statement on your own data, such as amount collected or auto-match rate, labelled as assisted or caused. These are never published as benchmarks.
Do my CA and auditor get access?
Yes, that is the plan: a time-boxed read-only auditor role with export packs, and a CA practice console for firms managing many clients.
