Operations & Supply · App 09

The right item, in the right place, bought and moved correctly

Seven Operations modules on one Item, Vendor and Asset record, with India compliance built in and AI Digital Employees working under your approvals. Planned for W4 and W5.

Planned · Year 3 (W4)7 modulesYear 1: Later
One system where a business buys, stocks, makes, moves, maintains and services physical goods and assets, and where AI Digital Employees do the routine operations work on WhatsApp, email and mobile, under governed approvals, with every outcome measured. Finance counts money, CRM and Commerce win orders; Operations makes sure the right item is in the right place, bought at the right price, produced to specification, delivered with valid paperwork, and that machines, vehicles and field technicians keep working.

One Item, one Vendor, one Asset, one history

Operations brings seven modules onto the same shared records. Inventory, Procurement, Manufacturing, Field Service, Commerce and Finance all read and write one Item master, one Organization record in a vendor, customer or carrier role, and one Asset record. No module keeps its own copy. A goods receipt creates a stock move, a vendor bill is matched against the purchase order and the receipt, a manufacturing order consumes components and produces finished stock, and an asset's maintenance work order is executed by a field technician using parts from van stock.

Every physical-world change is a typed Action

Posting a stock move, issuing a purchase order, accepting a supplier change, releasing a batch from quality hold, generating an e-way bill or dispatching a technician runs through the One3 Kernel Action Bus. Each Action carries a risk tier, a reversibility class and your delegation-of-authority limits. People, integrations, MCP clients and Digital Employees use the same Actions and the same checks, and every one is written to a hash-chained audit log. Posted documents are never edited in place; corrections are reversal or amendment Actions with version history.

The frontline works where it already works

Suppliers are designed to confirm purchase orders on WhatsApp. Storekeepers record goods receipts with a photo of the delivery note or a voice note. Drivers capture proof of delivery on a phone, and technicians complete checklists offline in basements with no signal. Voice and text in Indian languages turn into proposed changes that a person approves in one tap; they never post directly unless the Action and the agent's earned autonomy allow it.

India compliance as part of the product

GST-correct stock documents, delivery and job-work challans, the e-way bill lifecycle tied to shipments and trips, and e-invoice through the shared Tax Engine are planned as product features, not a configuration project. Every regulatory rule is read from the Fact Register and must be verified before build; a stale fact blocks the dependent Action with a clear message.

How it fits with the rest of One3

  • Finance owns Accounts, the Tax Engine, Billing and Payments Hub. Stock valuation, depreciation and manufacturing cost post to Accounts, and payment approval stays an R4 human decision.
  • Commerce shares the Item master and reserves stock in Inventory for online, POS and WhatsApp orders.
  • Service Desk tickets can become field service requests.
  • AI Workforce supplies the rentable Operations Digital Employees, and their outcomes are recorded in the Investment & ROI Ledger against baselines captured at onboarding.
  • Migration Factory is planned to move items, balances, open POs and assets from Tally, Zoho Inventory, ERPNext, Odoo and spreadsheets with a reconciled cut-over.

Availability

Operations is outside the Year-1 Product Boundary. Inventory & Warehouse and Procurement are the first modules, planned for W4 (Year 3, PI-5), followed by Assets & Maintenance and Field Service in PI-6. Supply Chain & Logistics, Manufacturing & Quality and Fleet are planned for W5. Until then, teams keep their existing tools.

Problems solved

What Operations fixes

Stock figures never agree

Tally, spreadsheets, marketplaces and the warehouse floor show different numbers, so stock-outs and dead stock exist at the same time. Operations is designed to keep on-hand, reserved, available and in-transit quantity per location and bin, with batch, serial and expiry tracking and valuation reconciled to Accounts.

Purchasing happens on phone calls and WhatsApp

POs are raised with no approval trail, suppliers do not confirm, and late deliveries are found on the due date. Procurement adds requisition, RFQ and PO with delegation-of-authority approvals, supplier confirmations captured from email and WhatsApp, and late-PO follow-up by a Digital Employee.

Bills are paid without matching goods received

Duplicates and price variances leak cash. A GRN linked to the PO and a line-level three-way match with tolerance rules route only the exceptions to a queue shared by Procurement and Accounts.

Machines break down without warning

Maintenance history lives in paper registers and warranty claims are missed. Assets & Maintenance plans an asset register, meters, preventive maintenance plans, costed work orders, warranty tracking and depreciation posted to Accounts.

Technicians arrive without the part

Wrong jobs, missing parts and no signal on site mean repeat visits. Field Service plans skill-, location- and parts-aware scheduling, an offline technician app, checklists, photos, signatures and billing handoff.

E-way bills expire in transit

Vehicle changes are not updated and proof of delivery arrives days late. Supply Chain & Logistics ties the e-way bill lifecycle to the shipment through the Tax Engine, with validity watch and e-POD on WhatsApp or mobile (rules to be verified).

Production plans ignore materials and quality

Job-work stock at subcontractors is untracked and defects are found at the customer. Manufacturing & Quality plans BOMs, MRP-lite, job-work challans, inspection at receipt, in-process and dispatch, and NCR/CAPA.

Vehicle documents lapse and fuel goes missing

Fleet plans vehicle and driver compliance with expiry alerts, trip planning, fuel logs with anomaly checks, telematics integration and a driver app for expenses and e-POD.

Key capabilities

What you can do

Real-time stock by bin, batch and serial

Append-only stock ledger with on-hand, reserved, available, in-transit, quality hold and damaged quantities, FEFO/FIFO rotation and valuation that posts to Accounts.

Requisition to PO with DoA approvals

Approval routing by document type, value, category, cost centre and workspace, with approvals from web, mobile or WhatsApp.

Three-way match with an exception queue

PO, GRN and bill matched at line level with quantity, price and tax tolerances; only exceptions reach the buyer, stores or Accounts.

WhatsApp supplier channel

PO sharing, acknowledgement, date confirmation, ASN and invoice photos on WhatsApp, with supplier replies understood in any language and turned into proposals.

Offline field and warehouse apps

Technicians, storekeepers and drivers work offline with an Action outbox that syncs and reports success or conflict per Action.

E-way bill lifecycle tied to shipments

Generate, update vehicle, extend and cancel through the Tax Engine and GSP, with a validity watch against the shipment ETA. Statutory steps always need a human.

Maintenance with cost and warranty

Preventive plans by time or meter, costed work orders with parts and labour, warranty and AMC tracking, and depreciation books posted to Accounts.

Batch genealogy and quality

Inspection plans, dispositions, NCR and CAPA with forward and backward traceability from raw material batches to customers.

Governed Digital Employees

Procurement, stores, maintenance, dispatch and logistics roles start in shadow mode, earn autonomy per skill, and report outcomes in the ROI Ledger.

Workflows

How the work flows

End-to-end workflows inside the app and across One3.

Procure → Stock → Pay

From a reorder rule or shortage to a matched bill and payment scheduling in Finance (extends platform flow F6).

  1. 1.A reorder rule, manufacturing shortage, work-order part need or manual request creates a purchase requisition
  2. 2.If the value is outside the requester's authority, approval goes to the Approvals Inbox or WhatsApp
  3. 3.An RFQ or direct PO is created; quotations arrive by portal, email parsing or WhatsApp
  4. 4.Quotes are compared on price, taxes, freight, landed cost, lead time and vendor score, then awarded
  5. 5.The PO is issued (R3) and the supplier acknowledges or requests a change
  6. + 3 more steps →

Order → Pick → Ship → Deliver

From an online, POS, marketplace or sales order to proof of delivery and COD reconciliation (extends platform flow F7).

  1. 1.An order from Commerce or Sales reserves stock in Inventory
  2. 2.A pick list is generated with FEFO or FIFO rotation
  3. 3.Items are packed with scan verification
  4. 4.A tax invoice via Billing or a delivery challan is produced
  5. 5.If required, an e-way bill is generated through the Tax Engine with human approval
  6. + 3 more steps →

Plan → Make → Inspect → Stock

MRP-lite planning through production, job work and final quality release (W5).

  1. 1.Sales orders or stock targets feed MRP-lite net requirements
  2. 2.Planned manufacturing orders and purchase requisitions are proposed
  3. 3.MOs are released after a material availability check
  4. 4.Materials are issued or backflushed; job-work challans send material to subcontractors where needed
  5. 5.Operations run on work centres with in-process quality checks
  6. + 3 more steps →

Asset → Maintain → Service

From the asset register to a closed, costed work order and reliability history.

  1. 1.Assets are registered with hierarchy, custodian and meters
  2. 2.Preventive plans by time or meter, or breakdown requests by QR or WhatsApp, create maintenance work orders
  3. 3.Parts are reserved in Inventory
  4. 4.The work order is assigned to an internal engineer or dispatched to Field Service
  5. 5.Execution captures checklist, photos, meter reading and parts used
  6. + 2 more steps →

AI inside

AI skills that act through governed Actions

Every AI skill runs through the same typed Actions people use, with risk tiers, approvals and an audit trail.

Reorder proposals A1 → A3

Min-max and reorder-point proposals with safety stock, preferred vendor, last price, lead time and transfer alternatives; requisitions only after autonomy is earned.

Photo and voice GRN proposals A1 → A3

Matches a delivery-note photo or voice note to the open PO and proposes received and rejected quantities for one-tap confirmation.

Supplier message understanding A2

Classifies supplier replies (confirmation, change request, rejection, ASN, invoice sent, query) and extracts dates, quantities and prices into a proposed PO update with impact analysis.

PO follow-up cadences A1 → A4

Drafts and sends acknowledgement and delivery follow-ups in the supplier's language using approved templates within budget.

Quotation extraction A1 → A3

Reads quotation attachments from email into vendor quotation lines with confidence flags.

Dispatch optimisation A1 → A3

Proposes technician assignments balancing skills, SLA, parts, travel time and workload, with a plan quality score against baseline.

E-way bill preparation and validity watch A2

Prepares e-way bill proposals and warns when ETA exceeds validity, with an extension ready for approval. Statutory Actions stay human.

Fuel anomaly flags A4 (flags only)

Flags fills above tank capacity, consumption against baseline and off-route fills with evidence; outcomes are always decided by people.

NCR drafting and defect trends A2

Analyses defect trends and drafts non-conformance reports with a genealogy summary; dispositions remain human.

Operations copilot A2

Answers questions over stock, purchasing, assets and production with citations to records.

Security & compliance

Built to be trusted

Every change is an audited Action

Stock, purchase, maintenance, quality and logistics changes run as typed Actions with risk tier, reversibility class and delegation-of-authority checks, logged in a hash-chained audit trail.

Segregation of duties

The person who creates a vendor cannot approve its first PO or payments; the GRN poster cannot approve a match exception on the same PO; a counter cannot approve their own variance; an agent never approves what it proposed and never holds R4.

Untrusted content only proposes

Supplier emails, WhatsApp replies, voice notes and photos are read by a quarantined reader and create proposals. Bank details, prices and quantities never change records without a human decision.

Field-level security and scoping

Cost, price, valuation, supplier contacts, customer phone numbers, technician location and signatures are protected by field-level security, with record scopes by warehouse, legal entity, territory or team.

Privacy-bound location data

Technician and driver location is collected only during working sessions or trips, under notice and a documented purpose, with retention limits (DPDP alignment to be verified with counsel).

Managed devices and encrypted offline data

Handhelds and phones are MDM-managed, offline stores are encrypted, and devices can be revoked.

Frequently asked questions

When will Operations be available?

Operations is planned for Year 3 onwards. Inventory & Warehouse and Procurement are the first modules (W4, PI-5), followed by Assets & Maintenance and Field Service (W4, PI-6). Supply Chain & Logistics, Manufacturing & Quality and Fleet are planned for W5. Waves are earliest eligible dates, gated on readiness.

Does Operations keep a separate product list from Commerce and Finance?

No. One shared Item master is used by Inventory, Procurement, Manufacturing, Field Service, Commerce and Finance. Operations adds a stock profile to the item without copying it.

Can I keep using Tally?

Yes. A Tally connect mode is planned so Digital Employees can read vendors, POs and purchase vouchers and follow up before you migrate. Write access depends on Tally integration terms, which still need to be verified.

Will AI agents post stock or issue POs on their own?

Every deployment starts in shadow mode. Agents earn autonomy per skill and per tenant, and can only act within value caps you set. E-way bills, job-work challans, quality dispositions and payments always need a human.

Do technicians and storekeepers need connectivity?

No. The mobile apps are designed to work offline with an Action outbox that syncs later and reports any conflicts.

Is GST and e-way bill handling included?

GST-correct stock documents, challans and the e-way bill lifecycle are planned through the shared Tax Engine. Every statutory rule sits in the Fact Register and must be verified before build; this is not legal or tax advice.

Do Digital Employees replace my purchase or stores team?

No. They work for your team under named human owners, doing routine follow-ups, proposals and paperwork, with every outcome measured against your own baseline.
