Corporate Cards
Company cards through a licensed issuer, with real-time policy checks and receipt capture
Corporate Cards is a planned W4 add-on that issues virtual and physical cards through a licensed issuer partner, checks each authorisation against your policy in real time and codes transactions into the books. One3 is not the issuer (verify).
Cards with your policy built in
Corporate Cards, planned for Year 3 (W4), runs a card programme with one RBI-regulated issuer partner (verify). One3 handles requests, policies, receipts, coding and posting; the issuer issues the cards and holds the programme.
Employees or departments request a card with a purpose, limit and validity. After approval a virtual card is issued, and a physical card can be requested. Policies set limits per transaction, per day and per month, merchant category allow and deny lists, validity windows, geography and online or offline use.
Real-time checks
When a cardholder pays, the issuer sends an authorisation webhook. One3 responds within the issuer's latency budget using a cached, compiled policy and the card's spend counters. How the system behaves if the spend counter is unreachable while the policy cache is warm is an open item to verify with the issuer.
From swipe to books
Authorisations and clearings arrive in a transaction feed and are reconciled to the statement. Receipts and GST invoices are captured on WhatsApp or mobile, extracted and matched to the transaction, with reminders for missing receipts. Transactions are coded by category, account, dimensions and ITC eligibility (ITC only with a valid GST invoice, verify) and posted to Accounts, with a link to expense reports in People.
Controls
A holder or admin can freeze a card (R2, reversible) or cancel it (R3). A People leaver event freezes and then cancels the leaver's cards automatically. At GA, merchant-locked subscription cards carry renewal alerts, limit changes need approval (R3, or R4 above delegation of authority), and statement payments to the issuer are proposed through Payments Hub as R4. The Expense Auditor flags policy violations, duplicate receipts and split transactions; it never rejects a claim on its own.
