Inventory & Warehouse
Every unit by item, location, bin, batch and serial, with valuation that reconciles
Inventory & Warehouse is designed to know and control every unit of stock in real time, on an append-only stock ledger. Valuation reconciles to Accounts, and scanning, counting and receiving work on handhelds, even offline.
What it does
Inventory & Warehouse is the core of Operations. It extends the shared Item master with a stock profile (tracking mode, units of measure, shelf life, storage conditions, QC-on-receipt flag, ABC class) and keeps an append-only stock ledger of moves from location to location. Every move carries quantity, unit, batch or serial, reference document, actor and cost.
Stock lives in a hierarchy of warehouse, zone, rack and bin, with location types for receiving, quality hold, damaged, transit, vendor, customer, job worker and scrap. For each item, location, bin and batch the module tracks on-hand, reserved, available, in-transit, quality hold, damaged and at-job-worker quantities.
How it fits
Goods receipts from Procurement, production receipts from Manufacturing, transfers and customer returns all land here. Reservations come from Commerce and sales orders, manufacturing orders and maintenance or service work orders. An availability API gives available-to-promise by item, location and batch to Commerce, Sales and MCP clients. Valuation by weighted average or FIFO posts to Accounts, and period locks from Accounts block postings into closed periods.
What is different
- Frontline capture. A storekeeper can send a photo of a delivery note or a voice note; the system proposes GRN quantities, a damage record or a count entry for one-tap approval.
- Controls built in. Adjustments need reason codes and DoA approval; cycle counts are blind, with recounts by another person and variance approval. A counter cannot approve their own variance.
- Wastage as a first-class record. Damage, expiry, spoilage, pilferage and QC rejection are categorised with evidence, manager approval, write-off impact and root cause.
- No negative stock without policy. Concurrency tests on stock moves are part of the exit criteria.
Planned for W4 (Year 3, PI-5). Advanced features such as wave picking, packages and LPNs, slotting, 3PL multi-owner stock and cold-chain logging are planned for W5.

Workflow
Inbound receipt to available stock
- 1
A GRN, return, production or transfer receipt creates a receipt task on mobile
- 2
The storekeeper scans items and captures batch, expiry and serials
- 3
If QC on receipt applies, stock moves to quality hold
- 4
A QC pass leads to a putaway suggestion; a fail leads to damage or return to vendor
- 5
Putaway to a bin is confirmed and available stock and a valuation layer are created
Workflow
Cycle count
- 1
Counts are scheduled by ABC class
- 2
Count tasks are assigned and done blind on mobile
- 3
Variances within tolerance and below a value threshold are auto-accepted
- 4
Larger variances are recounted by another counter
- 5
Remaining differences go to DoA variance approval
- 6
An adjustment stock move and valuation posting are made and accuracy metrics update
AI
AI skills and Digital Employees
Reorder proposals
Nightly and event-driven proposals with safety stock, preferred vendor, last price and transfer alternatives.
Photo and voice GRN proposals
Delivery-note photos and voice notes matched to open POs, with proposed received and rejected quantities.
Count scheduling by risk
Schedules counts using ABC class, recent adjustments, damage and high-value items.
Variance explanation hints
Points to recent moves, known damage, unposted receipts or a likely mis-bin; approval stays human.
Expiry and dead-stock actions
Near-expiry and dead-stock proposals with return eligibility and markdown options.
Stock copilot
Natural-language questions on stock, movements and valuation, answered with record citations.
Digital Employees that use this module
They act through the same governed Actions as people; risky steps wait for approval.
Frequently asked questions
Which valuation methods are planned?
Weighted average and FIFO, chosen per item category and legal entity, with valuation layers posted to Accounts.
Can stock go negative?
Not without an explicit tenant policy. Concurrency tests on stock moves are part of the module's exit criteria.
Does it support batches and expiry?
Yes. Batches carry manufacturing and expiry dates and supplier batch numbers, with FEFO and FIFO picking suggestions and batch block and release.
Can storekeepers work without internet?
Handheld mode is designed for offline use on Android scanners and phones, with an outbox that syncs later.
