Attendance & Leave

Shifts, geo-fenced punches and leave ledgers that payroll can trust

Planned · Year 2 (W3)Sold as: Add-onC-74

Attendance & Leave covers holidays, shifts, rosters, punches from mobile, WhatsApp, kiosk or devices, regularisation, overtime and leave policies. Locked attendance flows to Payroll as loss-of-pay and overtime inputs.

What it does

Attendance & Leave is planned as an add-on on Core HR. It is built for employers with frontline and shift-based staff across sites and states.

Holiday calendars are set per location or entity, with national, state and optional holidays and limits on employee choice. Shifts define start and end, breaks, grace, half-day thresholds, overnight shifts, weekly offs and overtime eligibility. Rosters are effective-dated, support rotation patterns and bulk upload, and are published to employees.

Punches from wherever staff are

Staff punch in and out from the mobile app with a location check against the site geo-fence, with an optional selfie under tenant policy and notice. Punches captured offline are signed with device time and synced later with tamper checks. Browser punches can be limited by IP allow-list, and a shared kiosk mode uses an employee PIN or QR code. Punching over WhatsApp uses a location share inside the geo-fence and time window (verify reliability and rules). Biometric devices connect through a device-agnostic import API and CSV bridge.

A daily computation sets each employee's status: present, absent, half-day, leave, holiday, weekly off, on duty or work from home. Missed punches are fixed through regularisation requests with reason, approval and monthly limits. Overtime is computed per shift rules and statutory limits (verify) and approved before it reaches payroll.

Leave as a ledger

Leave types include earned, casual, sick, maternity, paternity, bereavement, comp-off, loss of pay and custom types, with state minimums (verify). Policies handle accrual, proration for joiners, carry-forward caps, lapse, encashment, sandwich rules and minimum notice. Every movement is an append-only ledger entry, so balances can always be explained. Requests check balance and overlap, follow an approval chain, and cancellations reverse ledger entries.

What is different

The attendance period locks at payroll cut-off. Changes after the lock become next-period adjustments, so payroll inputs are stable. Requesters cannot approve their own leave or regularisation. Anomaly flags such as repeated late punches or impossible travel between punches are advisory. Attendance & Leave is planned for Year 2 PI-1, with GA in PI-2.

Web, kiosk and WhatsApp punch

Browser punch with IP allow-list, shared kiosk mode with PIN or QR, and WhatsApp location-share punches inside a time window (verify).

Biometric device import

Device-agnostic import API and CSV bridge, idempotent by device key; vendor SDKs where access is confirmed (verify).

Daily attendance computation

Nightly and on-demand status per employee: present, absent, half-day, leave, holiday, weekly off, on duty or work from home.

Regularisation, on-duty and work from home

Requests for missed punches or corrections with reason, approval and monthly limits; approved off-site work counts as present.

Accrual, proration, carry-forward caps, lapse, encashment, sandwich rules, half-day, minimum notice and document requirements.

Append-only leave ledger

Opening, accrual, availed, adjustment, carry-forward, lapse and encashment entries; cancellations reverse entries.

Team calendar

Manager view of leave, shifts and holidays with coverage warnings.

Attendance period lock

Workflow

Shift to payroll input

  1. 1

The roster is published to employees.

  2. 2

Staff punch in and out from mobile, WhatsApp, kiosk or device.

  3. 3

Daily computation sets each employee's status.

  4. 4

Missed punches are regularised and overtime is approved.

  5. 5

The period locks at payroll cut-off.

  6. 6

Loss-of-pay days and overtime pass to Payroll as inputs.

Workflow

Leave request

  1. 1

The employee applies from the app or WhatsApp.

  2. 2

Balance and overlap checks run against the ledger.

  3. 3

The approval chain decides; the requester cannot approve their own request.

  4. 4

The ledger records the availed entry and the team calendar updates.

AI

AI skills and Digital Employees

Regularisation assistant

Suggests regularisations from calendar events, travel requests or on-duty records; the employee confirms.

Attendance anomaly flags (advisory)

Flags repeated late punches, impossible travel between punches and shared-device patterns for human review.

Leave over WhatsApp and voice

Apply, check balance and cancel leave through WhatsApp, with Indian-language voice via the Voice channel.

Shift optimisation

Proposes rosters from demand forecasts and constraints for manager approval.

Digital Employees that use this module

They act through the same governed Actions as people; risky steps wait for approval.

Frequently asked questions

Do we need biometric devices?

No. The module is designed so staff can punch from a phone or WhatsApp inside a site geo-fence, from a browser, or from a shared kiosk. Biometric devices can be connected through an import bridge.

What if a phone is offline?

Punches are captured offline with device time and a signed payload, then synced later with tamper checks.

Can attendance change after payroll cut-off?

The period locks at cut-off. Later changes become adjustments in the next period, so a calculated payroll is not disturbed.

When is Attendance & Leave planned?

MVP is planned for Year 2 Program Increment 1 and GA for Program Increment 2 (W3).
